2. What this notice covers
This notice applies when you use this website, fill in any of our forms, register for or attend Gateway for Business summit, become a member, buy, sponsor or receive a Business in a Box, take part in Meet the Buyer, or work with us as a speaker, exhibitor, buyer, funder, partner or member of the media.
3. What we collect

Special personal information. We don’t ask for information about your health, religion, race or similar matters. If you choose to tell us about an accessibility or dietary need so we can support you, we use it only for that purpose and only with your consent.
4. Why we use it
POPIA allows us to process personal information only for a lawful reason. These are our purposes and the reasons that apply:

5. Do you have to give it to us?
Giving us your information is voluntary. Fields we need are marked as required on our forms. If you don’t provide them, we may not be able to answer your enquiry, register you, match you for meetings or supply a Business in a Box.
6. Who we share it with
We do not sell your personal information. We share it only as follows:
- Buyers, funders, mentors and partners you are matched with, only with your consent, and only what they need for the meeting or programme.
- Sponsors who funded your place or your Business in a Box receive progress information that identifies you only if you agree. Otherwise they receive aggregated results.
- Service providers who process information for us under written agreements that require them to keep it confidential and secure, for example website hosting, email, registration and matchmaking platforms, payment processing and couriers.
- Authorities, where the law requires it.
7. Business in a Box
To set up the box for you, we share your name, contact details and business name with the technology and service providers whose products are in the box, such as the mobile internet provider, the card payment provider and the invoicing and customer-management platforms. We do this only with your consent. Once your accounts are set up, each provider’s own privacy policy and terms apply to your use of their service.
If someone sponsored your box, we tell them that you received it. We share how your business is doing only if you agree.
8. Marketing messages
We send you news and offers about Gateway for Business only if you have agreed to receive them, or if you are an existing participant or customer and the messages are about similar services. Every message tells you how to unsubscribe, and you can opt out at any time by emailing info@executiveconferenceevents.com. We never pass your details to other organisations for their marketing.
9. Photos and recordings
Plenary and track sessions are recorded for the Business Knowledge Library, and photographs are taken in public areas of the summit. Signs at the venue show where recording is taking place. If you don’t want to appear, tell the registration desk and we’ll give you a lanyard marker so our team knows. Workshops, clinic sessions and buyer meetings are not filmed without the participants’ agreement. We ask for permission before publishing a case study about your business.
10. Research and reports
We use Gateway Growth Assessment and follow-up data to produce research such as the South African Business Growth Report. Published research uses aggregated, de-identified data and never identifies you or your business without your permission. A research partner may help with analysis under an agreement that protects the data.
11. Information sent outside South Africa
Some of our service providers store data on servers outside South Africa. We send personal information outside the country only where the recipient is subject to laws, binding rules or an agreement that gives it a level of protection similar to POPIA, or where you have agreed.
12. Keeping it safe
We use reasonable technical and organisational measures to protect your information against loss, damage and unauthorised access, including access controls, secure (HTTPS) connections and agreements with our service providers. If we believe your personal information has been accessed without authorisation, we will notify the Information Regulator and you as soon as reasonably possible.
13. How long we keep it
We keep personal information only as long as we need it for the purposes in this notice, or as long as the law requires (for example, tax and accounting records). After that we delete it or de-identify it so it can no longer be linked to you.
14. Young people
Our programmes are for adults aged 18 and over. If a person under 18 takes part in a youth activity, we will ask a parent or guardian for consent before collecting their information.
15. Cookies and website logs
This website does not use advertising or tracking cookies. Our web host keeps standard server logs, such as IP addresses and pages requested, to keep the site running and secure. If we add analytics in future, we will update this notice and ask for your consent where required.
16. Your rights
Under POPIA you have the right to:
- Ask whether we hold personal information about you, and request a copy of it
- Ask us to correct or delete information that is inaccurate, out of date, incomplete or unlawfully held
- Object to our use of your information, including for direct marketing
- Withdraw your consent at any time. This doesn’t affect anything we did before you withdrew it.
- Complain to the Information Regulator
To use any of these rights, email info@executiveconferenceevents.com. We may need to confirm your identity first. Requests for access to records are handled under the Promotion of Access to Information Act (PAIA); our PAIA manual is available on request.
17. Complaints
Please contact our Information Officer first so we can try to put things right. If you’re not satisfied, you may complain to the Information Regulator of South Africa:

18. Changes to this notice
We may update this notice as the programme develops, for example when registration, membership or Business in a Box launches. The effective date at the top shows when it last changed. We will tell registered participants about significant changes.
